Behind the Scenes of My First K-Pop Cupsleeve Event

I have been planning this cupsleeve event for 4 months! It's finally time for it to be hosted.
On October 8th, 2023, I started planning in June, but I started advertising the event in September, making flyers and putting them up at K-pop stores and at the café where I was hosting it.
Pre-Event
Let me tell you, I was stressed.

I ordered 200 cupsleeves, and I didn't even know if 200 people would show up! I ordered 50 photocards, 50 stickers, and 50 photostrips for tiers so I could at least make a bit of money back from the cupsleeve event.
Well, to be frank, I didn’t really order 50 stickers and photo strips—I made them myself, and this was such a hassle! I went to FedEx to print them out, but the printers they had were not working at all. It kept messing up, and the ink was not working correctly. But then, the worker was so nice!
I wish I remembered her name! I told her the issue, and she was like, "Okay, I’ll do it in the back then! Just give me the code to the images, and I’ll do it!"
What I didn’t know was that she was also giving me a refund on the papers that messed up, and she gave me the ones she did for free as well! Man, how nice is that!
I made custom cupsleeves with this vendor I found on Instagram. They weren’t exactly cheap, but they were cheaper than the sleeves I found on Alibaba. Shipping was like a few hundred more than the sleeves themselves.
The cupsleeve event was for Stray Kids’ BANGCHAN for his birthday!

Hosting an event is super stressful. I also had my grandma come over from Oklahoma because she wanted to support my first event! She took me to the Dollar Store so I could buy decorations. I think I bought a bit of unnecessary décor, but I know I’m keeping it until the next event I host!
When I started advertising, I reached out to other event hosts in my area to see if they could help. They said yes, which was so nice of them. I also had to make a post saying I needed vendors. I made a form for it, so I had 2 people fill it out, and of course, I said yes. I wanted 1 more vendor, so I reached out to a vendor in Dallas (4 hours away from where the event was being held).
I reached out to her because I wanted to buy something from her so badly! LOL, but she said yes!
Then I had 4 vendors, including myself, but one of
the vendors reached out to me asking if their friend (another vendor) could have a table at my event. I was a bit worried because there wasn’t enough room for a 5th vendor, but I risked it and said sure! Which I do not regret at all!
EVENT DAY
This day was, not gonna lie, stressful. I’m a very anxious person, so I was stressssssing. I even pre-packed the car the day before and did all the décor beforehand!
I don’t know why I was stressing, not going to lie.
We went (my mom, sister, grandma, and me) to the café at 10? Vendor setup started at 11, and the event started at noon! But when we showed up, 2 vendors were already there! Like, vendor setup hasn’t even started yet, but how exciting!
People started showing up around 11:40 and started getting cupsleeves and their tiers!
My best friend Jade came, which was super nice to have some help and someone to give me company for a few hours!
When hosting a cupsleeve event, it’s weird! It’s like people show up in waves! A huge crowd comes, then it slows down, then another huge crowd shows up! It was very weird but cool! I met so many cool STAYs, and a STAY EVEN CAME ALL THE WAY FROM MCALLEN just for the event I hosted! I felt so happy and proud.

The event was from 12 p.m. to 6 p.m., which is a very long time compared to other events I’ve seen, but I wanted to give enough time for people who might have wanted to go but ran late. We had people come until the end of the event. We even did a raffle for prizes.
I did 3 prizes, which were 3 albums and some other Stray Kids merch!
It went well! And I liked it. We went from 200 cupsleeves to 100. I think.
Post Event
The event came to an end after a long 8 hours. I messaged everyone saying, "Thank you for coming" and posted some post-event photos!
